What's happening behind the scenes

If we don't have your web partner's email yet

Hit reply on the onboarding email with whoever manages your website hosting and DNS. If you don't have a web partner and manage your own DNS, just say so and we'll send the records directly to you with a per-registrar walkthrough (GoDaddy, Namecheap, Cloudflare, IONOS, etc.).

Common questions on this step

Why a separate sending sub-domain instead of just using my main email?

Two reasons. First, automated emails sent from your main domain (without a dedicated sender setup) can damage your inbox reputation over time, which means your real one-to-one emails start landing in spam too. Second, a dedicated sub-domain lets us track deliverability separately and pause automation instantly if something goes wrong, without affecting your day-to-day email.

Will this change how my regular email works?

No. Zero effect on your existing inbox, outgoing mail, or domain. The records we add are for a sub-domain (like mail.yourdomain.com) that doesn't exist today. Your you@yourdomain.com stays exactly as it is.

My web partner is taking forever to respond.

Forward us their last reply (or non-reply) and we'll escalate. We have templated "We're blocked on your DNS work" follow-ups ready. If your web partner is unresponsive for more than 5 working days, we'll suggest moving you to Cloudflare DNS which we can manage with you directly and removes this kind of bottleneck for good.

What records exactly get added?

Typically four: one CNAME for the sub-domain, one TXT for SPF, one TXT for DKIM, one TXT for DMARC. HighLevel generates them for your specific account, so they're unique to you. We send your web partner the exact strings to paste in. No interpretation needed on their side.

What if records are added but Step 4 still doesn't tick green?

Usually a typo. 90% of failures are a missing trailing dot or a misspelled DKIM selector. Send us a screenshot of what was added at your DNS panel and we'll spot the difference in seconds. We re-send corrected records and try again.
