Your CRM: logging in, the app, your team, and the screens to leave alone.
There is nothing to grant here. We build your CRM and send you the login. This page covers getting in, getting alerts on your phone, adding colleagues, the WhatsApp add-on in the current menu layout, and the handful of things you own outright: your contacts, your exports and your follow-ups.
Logging in
The login link comes from us in your go-live email. Your invite arrives separately, by email, from the CRM platform (the sender shows as HighLevel or LeadConnector), and it lets you set your own password. The login page is:
- Open the invite email and click Set password (or open the login page and click Forgot password, which sends the same link).
- Choose a password, sign in with your work email.
- First screen is the dashboard. The left menu has Conversations, Calendars, Contacts and Opportunities; that is where you will spend your time.
How you know it worked. You land on a dashboard that carries your company name at the top left.
If it fails. If no invite has arrived within ten minutes of the go-live email, check spam and the Promotions tab, then reply BLOCKED to the go-live email the same day. It almost always means the user was not created on our side yet, and it is fixed within the working day. Do not sign up for a new account on the platform's own website; that creates an empty account that has nothing to do with yours.
Two-factor authentication
Optional and yours to switch on: click your initials bottom left → My Profile → Two-factor authentication, choose email or an authenticator app. It applies to your user only. If you turn it on, keep the recovery email current, because we cannot bypass it for you.
Forgot password
On the login page click Forgot password, enter your work email, open the link. If nothing arrives in five minutes, the address you typed is not the one on the account; reply to the go-live email with the address you tried and we correct it.
The LeadConnector mobile app
This is what reaches you when you are away from your desk. SMS alerts to Maltese mobiles cannot be sent from the CRM, so the stack is email plus app push, with WhatsApp as an optional extra. Speed of response is the biggest single factor in whether a lead converts, so install it on day one.
- Open the App Store or Google Play and search LeadConnector. Install it.
- Sign in with the same email and password as the CRM. If you have not set a password yet, do the login section first.
- When asked, Allow notifications. If you dismissed the prompt, go to your phone's Settings → Notifications → LeadConnector and switch them on.
- In the app, open Conversations and set the filter to All. Give it a few minutes to sync on first sign-in.
How you know it worked. We send a test lead through your form; your phone buzzes within a minute and the contact shows in Conversations.
If it fails. Send a screenshot of the app's Settings screen and your phone's notification settings for the app. If the app signs in but shows a different business, you have been added to more than one; use the switcher at the top.
Adding a team member
- Settings → My Staff → Add Employee (on some accounts Settings → Team).
- Enter their name, work email and mobile.
- Role: User for sales people who work leads: they see contacts, conversations, the pipeline and their own calendar, and they cannot change automations or settings. Admin for someone who manages the account with you.
- Under User permissions leave the defaults. Save. They get their own invite email and set their own password.
- If they take booked calls, they must also connect their own calendar: signed in as themselves, My Profile → Calendar Configuration → Connect. Until they do, bookings cannot route to them. See Step 3.
How you know it worked. They appear under My Staff, they can sign in, and they see the pipeline.
If it fails. "A tab I expect is missing for one user only" is a user-permission toggle, not a fault: Settings → My Staff → the user → Edit → User permissions. Tell us which tab and we switch it on. If Settings itself is missing for you, the same applies to your own user; reply and we fix it in minutes.
What a User cannot see, on purpose: Automations, funnels, ad publishing, most of Settings and billing. One wrong click inside a live workflow stops leads reaching your team, so those screens stay with us. Ask for anything you need changed and we do it the same day.
Screens to ignore
The CRM is a large platform and only a corner of it is yours to use. These screens look important and have cost clients an hour each. Leave them alone; they are either handled by us or not used in Malta.

The WhatsApp add-on (current menu layout)
WhatsApp is optional, and we launch without it. When you want customer WhatsApp chats and reminders in the CRM thread, this is the path in the current interface. It is not under Phone System and it has nothing to do with A2P registration; an earlier version of our WhatsApp page pointed there and it was wrong. The connection is billed by HighLevel to your own card (a small monthly add-on plus Meta's per-message rates, no mark-up from us), which is why the first step is a payment method.
- Settings → Billing → Add Payment Method. Enter your company card. This card is charged only for the add-on and message fees.
- Settings → WhatsApp → Subscribe. Confirm the add-on.
- Choose Connect existing number and pick your WhatsApp Business number (the one on the WhatsApp Business app on your phone). Do not pick a CRM-assigned number.
- On your phone, open the WhatsApp Business app: a connection request from Meta appears within a few minutes. Tap Approve. Chats, up to six months of history, and the phone app keep working as before.
- Reply to your onboarding email with "WhatsApp connected" so we wire it into your reminders and confirmations.
How you know it worked. Settings → WhatsApp shows the number as Connected, and a message sent to your business number from another phone appears in Conversations.
If it fails. If Settings stops short of WhatsApp for your user, it is a permission toggle on your user profile; reply and we switch it on, then sign out and in. If no connection request arrives in 30 minutes, force-close the WhatsApp Business app and reopen it. Still nothing, send a screenshot of the Settings → WhatsApp screen and we trigger it again from our side. If you do not have a WhatsApp Business account yet, see the WhatsApp page.
Where verification codes arrive
Two different codes get confused. The WhatsApp connection is approved in the app on your phone; there is no code to type. If Meta asks you to verify the business phone number, the code goes by SMS or call to the number you entered, so enter a number you can answer. If a code is sent to a US +1 number you have never seen, that is the CRM's routing number and the code lands in your CRM under Conversations; copy it from there. Your data: exporting, pausing, and where messages appear
Export your contacts
- Contacts in the left menu. Apply a filter if you want a segment, or leave it empty for everyone.
- Click the three-dot menu top right → Export (Export to CSV).
- A download link is emailed to you within a few minutes. The file has every contact, every custom field and every tag.
You own the data. Export it whenever you like, for a backup, for another tool, or when we stop working together.
Pause follow-up for one contact
- Open the contact. Click the Workflows tab on their record.
- Find the sequence and click Pause. To stop everything for that person, add the tag
dnd-all-followupinstead. - If they asked to be unsubscribed, use the DND (do not disturb) control on the contact card, which is the legal opt-out and applies to every channel.
How you know it worked. The workflow shows Paused on the contact's Workflows tab, or the tag appears on the contact.
If it fails. If Workflows is not a tab on the contact, your user role hides it; reply with the contact's name and we pause it.
Where Facebook and Instagram messages appear
Once Step 5 is done, Messenger and Instagram direct messages arrive in Conversations alongside email and WhatsApp, one thread per person, and you reply from there or from the app. Instagram needs a professional account linked to your Page first; see the Instagram section. Website form enquiries reach the CRM only if the form was built by us or your developer has connected it; ask us before assuming.
Common questions on this page
Do I have to keep the CRM open all day?
No. The app alerts you when a lead arrives; you call them, then open the contact to move them to the next stage. Most clients are in the CRM for a few minutes a day. The pipeline board is the record; the email and the push are the ping.
Why is there no SMS in Malta, and what replaces it?
The CRM's messaging carrier cannot deliver SMS to Maltese +356 mobiles, and no setting changes that. Leads get email, plus WhatsApp once connected; you get email plus the LeadConnector push. The Phone System screen is not needed and can be ignored.
Is WhatsApp a must?
No. It is a plus. We launch without it and add it whenever you are ready; the only thing that changes is that reminders and confirmations then also go by WhatsApp, which lifts show rates.
Can leads from my website or WhatsApp be pulled into the CRM?
Website forms: yes, if your developer points the form at the CRM (we send them the details) or we build the form. WhatsApp: yes, once the add-on is connected, every message to your business number lands in Conversations. Messenger and Instagram: through Step 5.
The interface looks different from the screenshots.
The platform changes its menus every couple of months. The menu names on this page are the current ones; if a step does not match, send a screenshot of the whole window rather than guessing, and we update the page.
How do I see what automated messages a lead receives?
Open any contact and look at the Conversations thread: every automated email and WhatsApp sent to them is there with a timestamp. The sequences themselves are under Automation → Workflows, named for your business; read them freely, but ask us to make changes.
